Office Assistant

Classification:  Nonexempt (Seasonal)

Reports to:  Executive Director

Position Purpose

To work in conjunction with the Executive Director and peers to oversee the smooth and efficient running of the camp office.

Essential Job Functions

1. Assist in the daily operations of the camp’s office.

  • Provide administrative support services for the camp including, typing, photo-copying, faxing, answering the telephone/video phone, ordering supplies, delivering phone messages and mail to staff and campers, coordinating transportation, greeting and directing visitors to the camp, and maintaining an accurate records.
  • Work as part of the camp’s team by assisting in other areas of the camp as required and when available, by participating in programs, meals and staff activities.
  • Adhere to and interpret to other staff and campers the policies, practices and procedures of Aspen
  • Arrange for program activities as requested by the Program Coordinator or other staff
  • Meet regularly with the Camp Director and Operations Manager for debriefing, planning and supervision sessions, and to assist in the planning and implementation of programs, evening programs, and other camp activities when required and available.
  • Assist in the overall camp program by suggesting ideas, give leadership when required, and complete all duties as assigned
2.Work with the Camp Director and Outreach Coordinator to learn and further develop appropriate computer skills in order to assist camp staff with creating flyers, banners, program schedules and outlines, and any other documents requiring the use of computer programs.
  • Answer and direct all telephone inquiries including taking, prioritizing and delivering message.
  • Send, receive and deliver faxes.
  • Provide photo-copying services for all camp staff as authorized by the Camp Director or Operations Manager
  • Type, organize and file documents as required and requested
  • Use various computer software programs to create documents, schedules, flyers and banners, and any other appropriate materials
  • Order supplies to be picked up or delivered as authorized by the Camp Director

3. Perform clerical work

  • Organize and maintain all office files and supplies
  • Set and maintain mail boxes for staff and campers in the office, and a general message board for camp staff outside the office

4. Assist in the management of guests at camp.

  • Ensure all participants sign waivers upon arrival at camp
  • Ensure all visitors sign in and out at the office

5. Be a role model to campers and staff in your attitude and behavior.

  • Follow and uphold all safety and security rules and procedures.
  • Set a good example to campers and others in regard to general camp procedures and practices including sanitation, schedule, and sportsmanship.

Other Job Duties

  • Assist in transportation of participants and staff.
    • Operate camp vehicles.
    • Fill up vehicles when needed.
  • Assist in registration process.
  • Participate in staff training.
  • Accompany groups on overnight outings.
  • Willingness to obtain Child and Adult First Aid and CPR certification.

Relationships

Office Support staff is the liaison between the community at large and the camp and must maintain a good relationship with vendors, visitors, parents, camp staff, camp nurse, food service staff,  and campers.

Qualifications 

  •   Experience in camp and office settings.
  •   Desire to work in the camp office.
  •   Knowledge of standard office procedures, camp policies and procedures and general office practices.
  •   Preferred high school graduate with minimum age of 20, with two years office training.

Knowledge Skills and Abilities

  •   Knowledge of current policies and procedures is essential.
  •   Knowledge of and experience in preparation, organization and filing of documents.
  •   Ability to communicate with campers and staff.
  •   Knowledge of American Sign Language and Deaf culture.

Physical Aspects of the Position

  •   Ability to lift and carry 20 pounds including unloading supplies and equipment as needed.
  •   Ability to identify and respond to environmental and other hazards of the site and facilities and camper and staff behavior.
  •   Physical ability to office equipment according to safe, recommended methods.
  •   Physical mobility and endurance to perform tasks while sitting, standing or walking for long periods of time (60 minutes or more).
  •   Ability to provide first aid and to assist campers and staff in an emergency.
  •   Maintain a clean office environment and the ability to use cleaning supplies.
  •   Ability to endure standing for long hours and doing activities such as running, bending, stooping, and stretching.
  •   Operate with daily exposure to the sun, heat, and varying environmental conditions.
  •   Willingness to live in a camp setting and work irregular hours.

Notes

  • This position does not provide medical/dental/vision care, personal transportation, postage, personal meals, personal cell phones, or cable.
  • To protect the safety of our participants, team members, and community members, background checks and drug testing will be required of all hired team members. Drug testing will be randomly performed throughout programs.
  • To ensure fair storage space for all, temporary team members are limited to one large (30″) suitcase OR one medium suitcase (24″) and one small suitcase (20″) OR three small suitcases (20″).
  • Aspen Camp is not responsible for personal items and vehicles. Furthermore, Aspen Camp is not responsible for lost, broken, stolen, or left-behind items.
  • Aspen Camp is a non-smoking campus.
  • Pets are not allowed for any reason. Properly certified service animals are acceptable and all related expenses are the responsibility of the owner.
